Zoom Integration Guide
FlowGrid’s booking links let prospects book time directly on your calendar. With the Zoom integration connected, FlowGrid creates a Zoom meeting for every booking automatically — the join link is placed in the calendar invite, the confirmation email, and the downloadable calendar file, for both you and the person who booked.
Requirements
- A FlowGrid account with permission to connect integrations
- A connected calendar (Google Calendar or Microsoft Outlook) — this powers your booking link availability
- A Zoom account (any plan)
Adding the integration
- In FlowGrid, open Settings → Booking.
- In the Zoom card, click Connect Zoom.
- You are redirected to Zoom. Sign in (if needed) and click Allow to authorize FlowGrid.
- You land back on FlowGrid’s booking settings with your Zoom account shown as connected.
FlowGrid requests two Zoom permissions: creating meetings on your account (meeting:write:meeting) and reading your profile email and display name (user:read:user) to label the connection. FlowGrid never reads, lists, or modifies your other meetings.
Using Zoom on a booking link
- In Settings → Booking, create a booking link or click Edit on an existing one.
- Set Video conferencing to Zoom and save.
- From then on, every booking made through that link creates a scheduled Zoom meeting on your account with the correct topic, time, duration, and timezone. The join link appears in the calendar event, the prospect’s confirmation email, your new-booking notification, and the attached
.icsfile.
If a booking fails partway (for example, the calendar event cannot be created), FlowGrid automatically deletes the Zoom meeting it just created so nothing is left orphaned on your account.
Removing the integration
From FlowGrid
- Open Settings → Booking.
- In the Zoom card, click Disconnect.
Disconnecting revokes FlowGrid’s access token with Zoom and deletes the stored credentials. Booking links set to Zoom fall back to your calendar provider’s video link (Google Meet or Microsoft Teams) so bookings keep working. Meetings already created stay on your Zoom account.
From the Zoom App Marketplace
- Sign in to the Zoom App Marketplace.
- Click Manage → Added Apps.
- Find FlowGrid and click Remove.
Removing the app from Zoom’s side invalidates FlowGrid’s tokens immediately; FlowGrid will show the connection as requiring re-authentication.
Data handling
- OAuth tokens are stored encrypted at rest (AES-256-GCM)
- FlowGrid creates meetings only for bookings you receive — it does not read, list, or modify other meetings on your account

Troubleshooting & support
- The Zoom option is greyed out when no Zoom account is connected — connect Zoom first from Settings → Booking.
- A booking arrived without a Zoom link: if Zoom is temporarily unreachable, FlowGrid falls back to your calendar provider’s video link so the meeting still has a way to join.
- Connection shows “reconnect required”: your Zoom authorization was revoked or expired — click Connect Zoom again.
